Recording a payment you received

Venmo, Zelle, cash and cheques need recording by hand. Here's how, and how to fix mistakes.

Card and bank payments taken through Stripe record themselves. Everything else — Venmo, PayPal, Zelle, cash, checks — needs you to record it, because none of those can notify TeamFees automatically.

  1. Open the expense group and find the player.
  2. Action → Record Payment.
  3. Enter the amount, date and method, and add a note if it helps.

The status follows the amount: less than the fee is partially paid, the full amount is paid, more is overpaid. A matching entry posts to the ledger automatically.

Recording what you received. The method list shows only what you have set up, plus Cash. Saving posts a matching credit to the ledger.

Fixing a mistake

Record the payment again with the correct amount — it replaces the previous one rather than stacking. Editing or deleting the ledger entry works too; the two stay in step whichever end you change.

Payments marked "sent — pending"

That's a family telling you money is on the way. It isn't recorded and doesn't affect your balance. Validate you received the money, then record it properly.

Recording several at once

Select multiple players and use the bulk payment action — useful after a session of reconciling a collection of payments.
