Submitting expenses and getting paid back

Per diems, mileage, team meals, equipment — submit them and follow each one to reimbursement.

Anything you paid for on the team's behalf goes in from Reimbursements → Submit an Expense: description, amount, the date if you know it, and a note if there's context.

Submit them as they happen rather than saving up a season's worth. Your treasurer files each against the right event, and that's much easier while everyone remembers which trip it was.

Your Reimbursements page. The totals across the top are the short answer to what you are owed; the rows below show where each one has got to.

Following one through

  • Pending review— your treasurer hasn't filed it yet.
  • Awaiting payment— approved and on the team's books; not paid out yet.
  • Reimbursed — paid, on the date shown.
  • Declined — with the reason your treasurer gave.

The three totals at the top are the quick answer to "what am I owed": what's awaiting review, what's approved and pending payment, and what's already come back to you.

Wrong amount? Withdraw it yourself while it's still Pending review, and submit it again. Once approved it's on the team's books, so ask your treasurer.

Expenses your treasurer entered on your behalf show up here too — so this page is everything the team owes you, not only what you filed.
